“Video tape transfer service near me” almost never means the store nearest your house. As of August 2026, CVS, Walmart and Sam’s Club all hand your tapes to one outside company, Capture (YesVideo, Inc.), which barcodes them and mails them to Norcross, Georgia. The real question is not distance, it is who physically touches your tapes and what “digitized” means to them. Judge on published capture specs, how a billable tape is defined, and whether a person watches the transfer. Ours run $19.95 per two-hour tape (regular $28.50) as of August 2026, in-house in Orange, CA.
- A big-box drop-off does not keep tapes local: they ship to Capture’s facility in Norcross, GA, and the store disclaims responsibility.
- The proxy metric anyone can check at home: file size. About 1 to 2 GB per two-hour tape from a warehouse lab, about 12.5 GB from ours.
- Billing is per two hours of runtime, not per cassette: a 4-hour tape counts as 2, a 6-hour tape as 3.

Drop-off counter (mailed out)

Mail-in only
No storefront. You ship, a warehouse converts in bulk, files come back. Genuinely fine for a few ordinary tapes you only want watchable.
Independent lab you can drive to
The people who take your tapes in are the people who digitize them. Ours stay in Orange, CA. Walk-ins Monday to Friday, 8:00 am to 4:00 pm as of August 2026, 202 W Lincoln Ave, Suite A.

The belief worth correcting: proximity is not the quality signal
People assume the closer lab is the safer lab. What actually predicts your result is what a lab is willing to publish about its own process. A street address tells you almost nothing.
Start with the one number you can verify yourself after the job is done. As of August 2026, a budget warehouse transfer typically lands around 1 to 2 GB for a two-hour tape; ours runs about 12.5 GB for the same two hours. That gap is compression, and compression is detail nobody can put back later.
The capture chain, not just the file size
File size is the end of the chain, so ask about the rest of it. A lab that will not name its decks or say whether a time base corrector sits in the path is asking you to trust a résumé it will not show you.
- Which decks, and are heads cleaned and demagnetized on a schedule?
- Is time base correction in the signal path? On VHS and VHS-C, ours is included at no extra charge as of August 2026; elsewhere it is often an upcharge or simply unavailable.
- Will a second or third deck be tried when a tape tracks badly, or does the rack just keep running?
- What is the delivered file size for a two-hour tape, and is it stated anywhere in writing?
AI upscaling guesses at detail that was never recorded. A better capture records detail that was always on the tape. When a service sells “enhancement” but publishes no capture spec, you are buying the guess.
What actually comes back unplayable
Nobody sends 100 tapes and gets 100 files. Blank stretches, recorded television, commercial movies we cannot legally copy, and tapes too far gone to track all turn up in ordinary family collections. You are not charged for any of them, which is why an honest quote is an estimate until the boxes are opened.
A failed transfer is not subtle on screen. Picture tears sideways, color drops to grey, the image rolls, or the deck simply refuses to lock and you get noise. Sticky-shed tape announces itself first by sound: a squeal, then a stall, then a smear of oxide on the head.
If a tape squeals or sticks, stop playing it at home. Every pass strips more coating, and once the coating is off the ribbon that footage is gone. Bag it, label it, and let the first serious attempt be the one made on the right equipment.
Per-tape pricing, and what counts as one tape
This is the line that surprises nearly everyone. A tape is billed up to two hours of runtime, not per cassette. VHS recorded in long-play can hold 4, 6 or 8 hours, so a 4-hour tape counts as two units and a 6-hour tape as three. Any honest quote asks about recording mode.

Worked example, using rates current as of August 2026: 12 two-hour VHS tapes at $19.95 is $239.40 of conversion services. At roughly 12.5 GB each, those 12 tapes need about 150 GB, so a 256 GB flash drive at $55.00 fits with room to spare. A prepaid shipping kit is $35.00 ($45.00 for large orders of 100+ tapes or 7,500+ ft of film). There is a $50.00 order minimum, and drives never count toward it. Orders with $250.00+ of conversion services qualify for a 10% coupon as of August 2026, applied to services only, never to drives or shipping.

How payment and turnaround work
Money should never be the surprise on a job like this. As of August 2026, payment runs in three cumulative stages: $50.00 at checkout to buy your place in line, 50% of the pre-tax order when your media arrives at the studio, and the balance at completion. California tax applies only to tangible items like drives and discs. Return shipping is billed at carrier rate and is never taxed.
Expect roughly a six-week production cycle as of August 2026. That is an anticipated window, not a promise, because queue and tape condition both vary. Orders of $2,000+ may qualify for local pickup by us.

If you are outside our 75 miles: how to vet a lab in your own metro
Most of the country is not within driving distance of Orange, CA, and a good independent lab exists in nearly every large metro. The trouble is that search results surface retail counters first, because counters advertise.
Search terms that surface actual labs rather than kiosks: “film transfer lab” plus your city, “telecine,” “video post house,” “archival transfer,” or the name of a format (“Betacam transfer Denver”). Labs that serve museums, universities and local historical societies also tend to appear in those institutions’ vendor pages.
- A physical address with hours, not a PO box or a form. Call it and ask whether the work happens at that address.
- Published capture specs: file size or bitrate per tape, scan resolution for film, deck and scanner names.
- A plain answer to “is anything subcontracted or sent overseas?”
- A stated policy on blanks, commercial recordings and tapes that cannot be converted.
- Red flag: “enhancement,” “restoration” or “AI remaster” language with no capture spec anywhere on the site.
- Red flag: a per-cassette price with no definition of runtime, so a 6-hour tape is quietly repriced later.

Why the clock matters more than the calendar
VHS stores picture as a magnetic charge on a thin ribbon. Both the charge and the ribbon break down. Color dulls, noise creeps in, and the binder holding the coating absorbs moisture and turns gummy, which is the sticky-shed problem behind the squeal. Once coating sheds, that footage is gone.
Working VCRs are getting scarce too, which is the quiet half of the problem. Digitizing now means you are not depending on a machine that may not exist when you finally want to watch. In twenty-five years in one lab, the tapes people regret are always the ones that waited.
Film has its own clock. As of August 2026, standard delivery is MP4 on a flash drive or external hard drive, encoded at low compression, roughly 12.5 GB per two-hour tape. MP4 plays on phones, TVs, computers and streaming boxes without extra software, and the files are yours to copy freely. DVD is available as an add-on: $5.00 per disc for disc-only orders, $15.00 per disc when a drive is included.
Will you tell me before you convert a tape you think is worthless?
Yes. Every tape is inspected and previewed, and you are not charged for blanks, for tapes that cannot be converted, or for commercial and copyrighted material we cannot legally copy. Send 100 tapes and if 16 make sense to convert, you pay for 16.
Do my original tapes come back to me?
Yes. You own your originals and they come home with your digital files, and the drive is yours to keep. Delivery tracking closes out the order automatically once the box lands.
How many tapes can go in one shipping kit?
A single kit order caps at 200 tapes, or 10 Betacam tapes. Larger collections are welcome and simply need to be split or dropped off. Slide carousels and film reels of 600+ feet cannot travel in a kit at all.
Is a DVD or a hard drive the better way to keep these?
Files on a drive are easier to copy, share and back up, which is why drives are the default. DVDs suit relatives with a player, but every disc has a shelf life and fails all at once rather than fading gradually. What lasts and what fails when converting VHS to DVD covers the trade-off.
Do you also handle audio cassettes and reels found in the same boxes?
